1) Prioritise your time and energy on the tasks that will yield the greatest results

According to the Pareto Principle (i.e. the 80/20 rule), 20 percent of actions drive 80 percent of results (with the other 80 percent of actions accounting for only 20 percent of results).
So when you can do it all, focus on the tasks that are most important and within your control. What these are will differ depending on what your business or service is, but if you have something to sell, and people to sell it, focus on that.
2) Don't feel like you have to manage it all alone
Communicate when you may be feeling stressed or overwhelmed, and learn to delegate when you need to. Taking on too many things at once can lower the quality of the tasks you're doing so it's better to execute a few key things well.
Learning to delegate will also free you up to focus on the higher-level tasks that are required when operating in a constantly changing work environment - like dealing with issues and forward planning.
3) Communicate with confidence
Those working in a position of authority are responsible for projecting confidence and strength. Be transparent about the issues you may be facing, but come from a place of "this is how we'll get through it" not "this is how we hope we'll get through it".

]]>Here are eight crucial steps for helping the team accept and even help push change within an organization.
1 - State the Change
Whether the change is perceived to be major or minor, the leaders must be able to clearly articulate what the difference is all about, why it’s essential and what the positive outcomes of the change will be. What does winning look like on the other side of the change? Change must be led from the top down. Senior leaders must get all the managers on the same page before communicating the message to the rest of the company. That way, the other team leaders in the company are prepared to answer questions and concerns as needed.
2 - Listen to Feedback
The team’s voice must be heard. And chances are, many people on the team have most likely been begging for change and know what is needed. Getting their feedback will assist in smooth transitions and gaining their buy-in. There are varying forms of change that occur in organizations. The first type needs no explanation, and everyone understands the need and why it’s happening. The next type is similar in that the team generally understands the need, but the “why” requires more explanation. Other types of change are either misinterpreted or have an adverse effect. Gaining feedback throughout the change process will hold everyone accountable and help maintain alignment.
3 - Acknowledge the Feedback
Collecting feedback from the team is important, but even more important is acknowledging that feedback. I recommend obtaining team feedback during the beginning, middle and end of the change process. The after-action-review is important for the learning process. Don’t leave that part out! This doesn’t have to be a formal process. Getting feedback during casual conversation is fine. But I do suggest having an anonymous survey at some point during times of change. Employees will feel more comfortable being transparent. The last step is the most important. The leadership team must reflect on the feedback, tell the team what they are “hearing” from the feedback, and then some action must be taken.
4 - Use Emotional Intelligence
Leaders must lead by example in this regard. Change can be scary for the team, and showing compassion and empathy are essential. Leaders must communicate clearly, show discipline and be transparent. Emotional intelligence is not a soft-side leadership strategy as it may sometimes be perceived. Leaders that actively practice improving their emotional intelligence are better equipped to drive positive change and guide the team through the inevitable obstacles.
5 - Explain the Why
Everyone wants to know the purpose behind the organizational change. In many businesses, the COVID-19 pandemic has forced rapid change, and remote working is the new normal. Existing time tracking methods may have become ineffective, leading to the requirement of new timesheet capture technologies. Changing how employees record their working day can be very conventional, raise objections and question trust. Explaining the “why” will help the team understand the reasoning behind this change and that the goal to improve their work changes.
6 - Define Clear Roles
Defining the roles and decision-makers is very important. Everyone with a role in driving change must understand who is accountable, responsible and informed. Specific team members must own certain aspects of the change process. Once roles are assigned, make sure that milestones are set, regular check-ins scheduled, and rhythm of communication established.
7 - Provide Training
Most of the time, training will be required. Whether it’s a new system, process, software or an overhaul in customer service, the team needs to be well-trained for the changes to not only stick but to be effective. Leaders must carve out proper time, budget and resources during the rollout period.
8 - Reward Acceptance
Some team members will take well to change and proactively aid in its acceptance while others will be slow to adopt. Have a plan in place to publicly reward those that make the time and effort to embrace change. Especially those that do it with a good attitude and get other team members on board. Change is inevitable. It’s much less painful doing it right the first time. Following these steps will help increase the speed of change and keep morale high during the process.

The person who prepares the payroll should not authorise it or create/enable the payroll payments, thereby reducing the risk of fraud and the possibility of collusion. Where the scale of operations does not allow for proper separation of duties, it is advised that you engage independent resources to conduct a frequent review of payroll transactions.
Errors of Omission and Commission
Regularly performed and properly prepared accounting reconciliations of payroll to general ledger should be conducted by a person not engaged in payroll preparation. Reconciliation should consider what should be there as well as what is there to ensure that valid external references are used. This approach should make payroll fraud concealment more difficult.
Security access to the payroll system
The system administrator should control the user access levels to system data relevant to the organisational roles and responsibilities.
Payroll system audit file
Timesheet and other critical data should be flagged to report any changes in a system audit file. Audits should include what was changed by who and when.
System reports and warnings
Your payroll software should have key payroll reports available for authorising agent. These reports include Payrun details report, pay run variation report, pay run audit report, headcount report, master file details report. Warnings should be set for exceeding set maximum limits.

1. If your company has any plans for reconfiguring their network, please ensure that the time clocks are updated accordingly. Please also ensure that you have assigned a static IP address of which is outside the DHCP range to each clock that will be affected by the network change.
2. If you cannot access/find your Company File, confirm that your network drives are mapped and that you can connect to the network drive it is stored on (may require IT assistance).

A lot of today’s time-and-attendance systems still lack a way to verify that the data presented on a timesheet is accurate and valid. Two sources of labor fraud in particular are left unaddressed in today’s increasingly mobile workforce:
One way for businesses today to avoid or solve the issues of time fraud is by using biometric-based time tracking. Biometrics offer a highly automated, accurate, and accessible method to employee time and attendance tracking.
Time-and-Attendance Fraud
Employers who compensate an hourly workforce are the most common victims of time-and-attendance fraud. These include workers in retail stores, warehouses, manufacturing, customer service, security, and other jobs that require on-site work.
However, nearly every industry has in some way been affected by a distributed workforce. Independent contractors, field service workers, transportation workers, and employees who work from a home office such as remote freelancers, participants in the gig economy and other transient workers represent a growing share of the labor force.
Biometrics and Time and Attendance
Biometrics like face, voice, and fingerprint use unique biological features to verify someone’s identity. By verifying identity, they can be used to confirm that time and location data being submitted by an employee is in fact being submitted by that employee at that time.
All biometric systems operate on the simple concept of comparing a stored record of a user's biometric data (hand, eye, fingerprint, etc) with data being supplied in real-time by the user requesting access. The real-time data is converted into a form which can be compared to the record, and if the two data sets match with enough certainty, the user is authenticated.
The process of first capturing the biometric data is called enrolling while the action of authenticating the user is called identification or verification. During the enrolment process, the original fingerprint image is processed, highly compressed, and stored on the device flash memory (or another storage system like the PC) as a template such as a unique ID number, name, and other information is added to associate a person with the template.
In this way, biometrics can be used to determine with accuracy and certainty that a person is who they claim to be at a particular time, virtually eliminating the possibility of buddy punching.
So biometrics for time and attendance are no used simply as a mobile authenticator for an employee to login and submit time and attendance data. They are used to validate time and location data, effectively automating mobile time-and-attendance tracking.
Security and Accuracy
Biometric time clocks store a mathematical representation of the users fingerprint. Each time a users finger is scanned by the time clock the mathematical representation of that finger scan is matched against the stored mathematical finger representations which are linked to individual people.
The mathematical representation that is stored with-in the time clock can not be used to copy or re-produce a finger image.
No graphical (bitmap) representation of any finger prints are stored or transmitted.. This ensures that biometric templates are kept under lock and key.
Furthermore, biometric-based mobile time-and-attendance eliminates the human error associated with timekeeping. In traditional data entry methods, a single typo can result in payouts that are over or below actual time worked. Biometrically validated timestamp submission eliminates this risk from the equation.
